Position Overview
A highly regarded intellectual property boutique is seeking an experienced Patent Prosecution Paralegal to support attorneys managing sophisticated domestic and international patent portfolios.
Candidates must have three to five years of experience specifically providing paralegal support for IP patent prosecution matters. General paralegal experience, without the required patent prosecution background, will not satisfy this requirement.
Hands-on familiarity with USPTO procedures, electronic filings, prosecution documents, and docketing deadlines is required. The successful candidate will be highly organized, academically accomplished, team-oriented, and capable of working cooperatively across the firm.
Sound professional judgment, a composed demeanor, and a demonstrated record of employment stability are important selection factors. This is a remote-eligible position.
Required Qualifications
- Three to five years of dedicated IP patent prosecution paralegal experience
- Prior experience supporting patent prosecution attorneys in a law firm
- Hands-on familiarity with USPTO procedures, filing requirements, and prosecution deadlines
- Experience preparing and electronically filing U.S. patent applications and related prosecution documents
- Experience preparing and filing Information Disclosure Statements, assignments, powers of attorney, declarations, and other USPTO documents
- Experience monitoring patent matters from initial filing through issuance
- Experience managing patent prosecution deadlines and docket reports
- Strong proficiency with Microsoft Word, Outlook, Excel, and Adobe Acrobat
- Exceptional attention to detail and accuracy
- Ability to manage multiple matters and time-sensitive deadlines
- Excellent written and verbal communication skills
- Cooperative, team-oriented approach and ability to collaborate across practice and administrative functions
- Sound professional judgment and a consistently professional demeanor
Candidates whose experience is primarily in general litigation, IP litigation, trademark work, corporate law, or another paralegal practice area will not qualify unless they also possess the required three to five years of dedicated patent prosecution experience.
Patent Prosecution Responsibilities
- Prepare and electronically file U.S. patent applications and related prosecution documents
- Prepare and file Information Disclosure Statements, assignments, declarations, powers of attorney, and formal USPTO documents
- Monitor patent prosecution matters from filing through issuance
- Review USPTO correspondence and identify applicable deadlines and required actions
- Assist attorneys with the preparation and filing of responses to Office Actions
- Coordinate domestic and international patent filings with attorneys, clients, and foreign associates
- Ensure filings comply with USPTO requirements and firm procedures
- Assist with patent portfolio maintenance and ongoing prosecution activities
- Docket and Portfolio Management
- Monitor and maintain patent prosecution deadlines in the firm’s docketing system
- Review docket reports and communicate upcoming deadlines to attorneys and team members
- Audit patent portfolios to confirm that matters remain current and compliant
- Maintain accurate electronic matter files and document-management records
- Track patent application status, issuance, maintenance, and related portfolio activity
- Client and Team Support
- Communicate professionally with inventors, clients, foreign associates, and the USPTO
- Prepare client correspondence, portfolio reports, and status updates
- Organize patent files and supporting documentation
- Collaborate with attorneys, paralegals, docketing personnel, and administrative professionals
- Assist with legal research, document review, and additional intellectual property projects
Preferred Qualifications
- Four-year college degree
- Strong academic record and evidence of academic achievement
- Experience coordinating foreign patent filings
- Experience managing domestic and international patent portfolios
- Experience using PerfectLaw legal software
- Experience with patent docketing and document-management platforms
- Demonstrated employment stability and interest in a long-term position
